The challenge

For many years, this established North West London accountancy practice had run their IT around an ageing on-premise Exchange server. At the time it was installed, it made sense. But by the time they came to K-VEK, it had become a source of constant concern — expensive to maintain, increasingly unreliable, and wholly unsuited to a team that now needed to work flexibly across home and office. 

The risks were significant. An on-premise server of that age represented a serious vulnerability from a data security standpoint — a pressing issue for a practice handling sensitive financial data for dozens of business clients.

What we did

Phase 1 — Infrastructure Audit & Migration Planning 

We began with a thorough assessment of the existing Exchange environment — cataloguing every mailbox, shared inbox, distribution list, calendar and archived item across the practice. Particular attention was paid to legacy data and any custom configurations that needed to be carefully replicated in the new environment. A detailed migration plan was presented and signed off, with a clear timeline and defined rollback procedures in the unlikely event of any issue.

Phase 2 — Email Migration & Exchange Decommission

 Using industry-leading migration tooling, we migrated all 25–50 mailboxes from the on-premise Exchange server to Microsoft 365 — including full email history, shared calendars, contacts and public folders. The cutover was performed outside business hours to ensure the team experienced no disruption. Once migration was confirmed successful, the on-premise Exchange server was safely decommissioned — eliminating the maintenance cost and security risk it had represented.

Phase 3 — Microsoft Defender Security Configuration 

Given the sensitivity of the financial data the practice handles, we configured Microsoft Defender for Business across the entire organisation. This included multi-factor authentication, conditional access policies, anti-phishing protection and data loss prevention rules — ensuring the practice met the security standards expected by their clients, insurers and relevant regulatory bodies.

Phase 4 — Microsoft Teams Deployment 

We rolled out Teams across the practice, configuring channels aligned to the firm's internal structure — tax, audit, payroll, admin and management. Staff received a tailored onboarding session focused on the practical day-to-day tasks they actually perform, rather than a generic product walkthrough.

Phase 5 — SharePoint & OneDrive Setup 

We designed a SharePoint document structure that mirrored the firm's existing file organisation, making the transition as intuitive as possible. OneDrive was configured for all staff, replacing local file saving and enabling secure, device-agnostic access to client files and working documents from anywhere.

The result

The transformation was immediate and tangible. Staff who had previously struggled with remote access were now working fluidly from home and the office without any of the previous friction. The decommissioning of the old Exchange server removed a cost the practice had been carrying for years and eliminated a vulnerability that had become a growing source of anxiety for the partners.

From a security standpoint, the practice moved from one of the weakest positions imaginable — an ageing unpatched server — to a fully configured, enterprise-grade security environment. Their cyber insurer was satisfied, their clients were reassured, and the partners had the peace of mind that their data was properly protected for the first time.
