The challenge

With over 50 staff relying on BT Business email, the firm was operating without any meaningful collaboration infrastructure. Emails were siloed, documents were being shared via attachments and saved locally on individual machines, and with staff increasingly needing to work flexibly across home and office, the limitations were becoming impossible to ignore.

What we did

K-VEK managed the entire migration end-to-end, working closely with the firm's office manager to ensure minimal disruption to the fee-earning team throughout.

Phase 1 — Discovery & Planning 

We began with a thorough audit of the firm's existing setup — mapping all 50+ mailboxes, identifying shared inboxes, distribution lists and legacy data that needed to be carefully handled. A detailed migration plan was produced and signed off before any work began.

Phase 2 — Email Migration

Using industry-leading migration tooling, we migrated all mailboxes from BT Business email to Microsoft 365 — including full email history, contacts and calendar data. The cutover was performed overnight to ensure staff arrived the next morning with everything in place and no loss of data.

Phase 3 — Microsoft Teams Deployment 

We configured Microsoft Teams across the entire organisation, setting up channels aligned to the firm's practice areas and support functions. Staff received a straightforward onboarding guide tailored specifically to how the firm works — not a generic Microsoft manual.

Phase 4 — SharePoint & OneDrive Setup 

We designed and built a SharePoint intranet structure that mirrored the firm's existing folder logic, making adoption as intuitive as possible. OneDrive was rolled out to all staff, replacing the need for local file saving and enabling secure remote access to documents from any device.

The result

The impact was felt immediately. Within the first week, staff reported a noticeable improvement in how they communicated and collaborated across the firm. Document version confusion became a thing of the past, and fee earners were able to securely access client files from home or court without any of the previous friction.

For the partners, the bigger picture was equally positive. The firm now operates on a modern, compliant platform that meets the data security expectations of their clients and insurers. Microsoft 365's built-in security features gave them confidence their communications and client data were properly protected — something BT Business email could never offer.
